Information we collect & How we collect it

When submitting a form to us, we collect the personal information submitted through it. Depending on the form you submit, this may include:

– Your name or pseudonym
– Your email
– Your country of residence
– Your availability
– Additional information regarding your enquiry (such as information about you, your organisation and/or the details of your request).

When submitting forms on our website, you may be asked to consent to our privacy policy by completing a tickbox. To ensure we maintain an adequate audit to fulfill obligations under data protection laws, we may keep a record of this alongside your other submitted information. This is linked directly to your form submission, however is anonymous in itself.

Why we collect it

If you have contacted us through our contact-us form, we collect your data in order to respond to your request in a professional manner.

If you have joined our emailing list, we collect your data to send updates to you.

If you have contacted us through our partnerships form, we collect your data in order to process your partnership request and ensure we have a good understanding of who your organisation is and how it operates. This allows us to facilitate collaboration on projects relevant to you and maintain communication in the long-term with minimal confusion.

If you have contacted us through our volunteer form, we collect your details in order to understand who you are and how you could contribute. This allows us to facilitate collaboration on projects relevant to your stated country-of-residence and skillset.

Lawful basis for processing

We rely on legitimate interest to process data submitted through our contact us form. We use this data soely to respond to your enquiry in a satisfactory manner, as stated when submitting a request in this form. You can reply to our response to discuss it with us if you wish, however we will not contact you further without your prior-initiation. Our LIA assessment associated with this is provided at the end of this document. We also rely on legitimate interest to process data submitted through our emailing list. You can unsubscribe from our list at any time by clicking the ‘unsubscribe’ button provided on each email newsletter.

If you agree to partner or volunteer with us, we rely on your consent to process your data. Contributing to projects and partnerships with CANZUK Outreach is purely voluntary and you can withdraw at any time by emailing the address listed at the end of this document.

In exceptional circumstances we may be required by law to disclose personal data to law-enforcement authorities (for example; to report a crime, to report a threat to life or to comply with an on-going investigation). In such cases the origional purposes for processing may be overriden and we will comply with legal obligations.

Who we share data with

– CANZUK Outreach representatives appointed to respond to emails and form submissions. They will never share your data externally, unless required by law to do so.

– Data from forms and our emailing list is sent to our website hosting provider. Our provider is located within the EU and so your data is protected under the EU’s GDPR (which has similar principles to the UK’s GDPR). This qualifies as an international transfer.

– Law-enforcement authorities such as the police when we are legally required to (such as when requested to provide details to assit with an ongoing investigation, to report a crime or report a threat to life).

– Regulatory bodies or other public authorities when a statutory duty applies.

Safeguarding and securing data

Our site is regularly scanned for security vulnerabilities and updated. Data is only stored within our website briefly, before being sent to our hosting provider for secure storage. We regularly update access credentials and generate secure backups. In the event of a breach, we will notify all affected users and relevant data protection commissioners located in CANZUK countries within 72 hours of us becoming aware of it.

Your rights

You have the following rights under the UK’s General Data Protection Regulation (UK GDPR) and the Data Protection Act (2018). This applies to all users, regardless if you are located in the UK, in another CANZUK nation or elsewhere in the world:


Right of Access – You have the right to request and receive a copy of all personal data CANZUK Outreach knows about you.

Right to Rectification – You have the right for inaccurate, incomplete and/or out-of-date data that CANZUK Outreach knows about you, to be updated or rectified.

Right to Erasure – You have the right for the erasure of data CANZUK Outreach knows about you.

Right to Restrict processing – You have the right to request CANZUK Outreach to restrict its processing of your data.

Right to data portability – You have the right to obtain your data held by CANZUK Outreach in a machine-readable format, so it can easily be reused across services.

Right to Object to processing – You have the right to request CANZUK Outreach to stop processing your data.

Right to lodge a Complaint – You can lodge a complaint with us, the Information Commissioners Office (ICO) and/or your local data protection authority if you are unhappy with how CANZUK Outreach has handled or processed your personal data.

If you reside outside of the UK, you may have additional rights under local data protection law. We will facilitate user rights invoked under these laws. Examples of local legislation includes (but is not limited to) Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), Australia’s Privacy Act, New Zealand’s Privacy Act, the EU’s General Data Protection Regulation (GDPR), California’s Privacy Rights Act (CPRA) and Brazil’s Lei Geral de Proteção de Dados (LGPD).

You can exercise these rights at any time by emailing contact-us@canzukoutreach.com, outling the rights you wish to invoke. You can also email us if you have any questions or complaints.

Data retention

Form submissions from contact-us forms and rejected volunteer/partnership forms are retained for up to 1 year from the time of your last interaction with us. This allows us to easily find details on your previous submissions to help provide context, should you choose to contact us again in future.

Email addresses on our emailing list are retained while you are receiving updates from us. If you unsubscribe, you will be removed from the list & data will be erased within 2 months.

Data obtained from Volunteers & Partnerships are retained as long as you continue to have a relationship with us. Should you choose to withdraw, your details will be retained for up to 1 year.

We use a few cookies which are required for core functionality and do not collect personal data:

CANZUK Outreach may have links to 3rd party sites on our website. A different privacy policy may apply on these sites. We make reasonable effort to ensure these sites are trustworthy and accurate, however should you have a complaint regarding a site we link to, you can contact us here or email contact-us@canzukoutreach.com to report it.

1) Purpose
Our legitimate interest is to respond to enquiries sent to us from the website’s contact us form and send newsletters to users who have subscribed to our mailing list. These are necessary to promote authenticity, foster community engagement and maintain a relationship with people. People expect to receive communication when they either submit a request or join our mailing list and is proportionate.

2) Necessity
Without collecting certain data from the individual, such as their name, email and the nature of their request, we would be unable to respond to enquiries or send newsletters. We only collect data that is strictly necessary for this purpose and users can contact us on social media or use a pseudonym if they wish.

3) Balancing
Data is generally non-sensitive and users expect a response when they either join our mailing list or submit a form. Risk to harm is low and communications are relevant. Users can unsubscribe from our emailing list at any time. We only send emails obtained from our contact us form submissions when initiated by a user (ie: a user submits a form, receives a response from us and then initiates a conversation by replying to that response).

Legitimate interest is not overwritten by the rights and freedoms of data subjects. Data subjects can object to processing at any time by unsubscribing using the button in our newsletter emails or by emailing contact-us@canzukoutreach.com. We will update this assessment to reflect future changes.
